Renaming Notebooks to Projects

This morning in Shareist, we are changing what we call Notebooks. When we started Shareist, the term Notebooks made sense, but as we added Inboxes, team collaboration, and other features, the metaphor started to fall apart.

We are now calling them Projects, which is a term that lends itself much more toward the direction that Shareist has gone. We think creating a project to manage a website, or a client, or a topic, makes much more sense. Each project has an inbox, and pages, a public website, and potentially a team of collaborators.

It's just the term Notebook that's changed to Project, no functionality was affected.

New Feature: Copying Pages

Let's say you create a newsletter every week. It has the same header image and footer text, and you change up the content inside every week.

Recreating the template every week is time consuming and, quite frankly, a hassle.

Now with Shareist, you can quickly create a copy of an existing page and then edit the new page for your next newsletter. Big time saver!

In the Page Manager, just click that copy icon and you'll get a new copy of that page to edit and publish to a blog, export to newsletters, or create a PDF.

Element Aliases

Sometimes you want to use some content over and over again. This comes up mostly for me with images, but also sometimes with text and other content. Let's use that same newsletter example.

Previously, each newsletter created would result in a new copy of the header image and a copy of the footer text element. It works, but if you look through the Elements archive, you can see this makes a mess.

Now, you can add an element to a page as an "Alias" of another element, which means that it's the same element that's used elsewhere. Change it in one place, and it changes everywhere. This is really cool for boilerplate text that you include a lot in pages, or as I mentioned in the above example, for formatting pages with a template.

Also, when you copy an entire page with the new Page Copy feature, all the elements are created as aliases. When you edit an alias, you have a choice of editing the master element (which will change it everywhere) or making a copy of it which will then change only in the page you're editing.

As soon as you discover a use for element aliases, you'll love them, I know it!

Here's another example. For the "This page was created..." text below, I use an alias, so I can change the marketing copy and it changes everywhere that's used as an alias. Pretty cool, and a huge time saver.

  • Okay, I'm trying to wrap my head around this... When I was last at shareist it was more similar to clipboard.com. Obviously it is so much morte than that now, and I can really see a valuable use for my business. But basically, project, notebook, whatever, it's simply a collection of things that you will use together, yes?

    I'm a freelancer though, I have about 18 active clients, dozens of occasional, can't archive yet clients and scores of archived clients. The large majority of the last group are one off sites, most of the second are as well, but in the first category I have a few clients with several sites and a couple of clients who are advertising agencies who hire me to develop their clients' sites. One of my clients has a portfolio of over 100 sites i have developed and actively help maintain with updates and changes.

    How does a 3 project or 5 project plan fit into this?

    Can I have sub-project and sub-sub-project groupings so that the projects are Main Accounts/Active Accounts/Archived Accounts, then inside each have a grouping of Client One -Site 1/Client 1/Site 2 etc...?

    What is the procedure and hassle factor of moving an entire client grouping with multiple sites from the active project to the archive project?

    What is the philosophical, strategic or business reason for the 1/3/5 setup and is there a solid reason for not offering anything larger up to and including unlimited?

    The 5 project plan doesn't fit well into this. The "contact us if you need more", "plan" does. :)

    We all agree here that more is needed. We'll be increasing the number in the higher plan, or adding another plan.

    We don't have sub projects, though you can organize pages in categories and tags, and elements with tags. I doubt you'd find that an effective way to manage multiple clients or websites under one project.

    You just need one project per client, so there's no hassle in moving things around. We did not envision you having to juggle a small number of projects.

    You just need more projects. I'll contact you separately about that.

    Well, as I'm thinking about this... I think I was trying to shoehorn this into a project management thing, but it's really a content management thing. Unlimited projects/notebooks/knowledge containers/nodes probably don't make sense for what shareist really is because they defeat the purpose of managing content. If you had enough folders to recreate the web you would just recreate the problem shareist solves.

    There's probably a practical limit to the number of projects one could manage, which would make it fairly safe for us to offer an unlimited plan. :)

  • Possibly I'm trying to imagine a use case far different from your intention though, and I can accept that, I tend to go about things the long way round.
